JOB SUMMARY
The Emergency Response Unit (ERU) Program Specialist will provide critical support to the ERU, working ERU program leadership. This role will primarily focus on grant management, reporting, donor communications, and program documentation, while also supporting the broader program functions as needed. The Program Specialist will ensure the timely production of high-quality donor reports, proposals, assessments, situation reports, presentations, and other communication materials that reflect the impact of IMC’s emergency responses. The position requires a commitment to deploy up to 50% of the time in support of emergency operations in challenging environments.

MAIN TASKS AND RESPONSIBILITIES
Proposal and Grant Support
• Contribute to the development of proposals, concept notes, and annexes in collaboration with technical, operational, and field teams.
• Ensure proposals and reports align with donor requirements and IMC’s strategic priorities.
• Support the creation of logical frameworks, results frameworks, and work plans for new grants.
• Ensure grant management is aligned with donor requirements and IMC rules and regulations, which would include program design, program activities, and reporting.
Reporting and Communications
• Draft high quality donor reports (interim and final), ensuring compliance with donor guidelines and deadlines.
• Develop situation reports (sit-reps), one-pagers, and external donor documents that highlight progress and impact. This also includes developing and tracking donation letters.
• Support the preparation of presentations (e.g., power point) for internal and external audiences, including senior leadership and donors.
• Elaborate, edit, and compile assessment reports, ensuring consistency, clarity, and accuracy.
• Contribute to success stories and donor communications that showcase program outcomes.
Partnership
• Support the work with local partners before and during emergencies
• Work on onboarding new partners as part of preparedness efforts.
• Review and process local partners’ reports, modifications, and any respective requests.
Program Support and Knowledge Management
• Assist the Director, ERU Programs, and senior program manager with program related tasks, including tracking deliverables and consolidating field inputs.
• Maintain reporting schedules and databases to ensure timely submissions.
• Support the development and dissemination of SOPs, best practices, and lessons learned.
• Support in preparation of our training initiative and Mission ready packages.
• Take notes and track action points from ERU calls, ensuring timely follow-up.
• Work on the ERU Smartsheet, keeping it updated regularly in coordination with ERU colleagues.
• Ensure SharePoint folders are well organized and assist in restructuring some folders for clarity.
Deployment and Field Support
• Deploy to emergency response missions as required (up to 50%)
• Provide field-based support in reporting, proposal development, program coordination, assessments, and information management.
• Ensure reporting tools and templates are applied consistently across operations
